Dr Timothy J Sharp & Associates, are an independent Sydney based chain of highly qualified clinical, consulting & coaching psychologists.


Project Overview

Switch I.T. was approached to design and implement a better approach to appointment scheduling and communication between different employees at different physical locations around Sydney.

After a comprehensive analysis of the system requirements and potential solutions for the client, Switch I.T. developed an online centralised scheduling system to provide staff members' access to appointment and contact information via the Internet.

Instead of playing phone tag to schedule and reschedule meetings, staff members can now login to a secure Intranet where they can check upcoming appointments, post memos to other staff members and search/browse a comprehensive list of firm contacts. Some of the main features of the system include:

  • Browsable Daily Calendar
    The system allows users to browse upcoming appointments on a day-by-day basis. The clean, usable interface allows simple access to any date in the calendar.
  • Searchable Contacts System
    Staff now have access to all firm contacts from anywhere with Internet Access. The system is searchable by first name, last name and company. Staff can also browse contacts by industry/profession.
  • Automatic Notification of Schedule Conflicts
    If a user attempts to add an appointment over an existing appointment, the system notifies the user and provides several options to work around the problem.
  • Full Recurrence Support
    Staff members have the ability to add recurring appointments to the system via a comprehensive recurrence system supporting daily, weekly and monthly recurrence patterns.
  • Memo System
    To keep fellow staff members informed about specific firm related events, users can post memo's that will be accessible by other staff members when they access the system.
  • Permission-based Access
    Different access-levels were established within the system to allow some staff members access to other staff members appointments, giving some employees the ability to add appointments for other staff members. In this case, the employee would be automatically notified of the new appointment via email.
  • Email System
    Staff now have the ability to email messages to multiple staff members simultaneously via the system.
  • Administration System
    The system allows Dr Timothy J Sharp & Associates staff with admin permissions to easily add other staff members, change passwords, contact details, etc for all other staff members.

Following it's implementation, the Online Appointment Scheduling System was a complete success. Dr Timothy J Sharp & Associates staff members were quick to adopt the new system without any training required. Communication between each staff member and the accessibility of important appointment, contact and memo information has been drastically improved.
